About the role
The Office Manager ensures the daily smooth functioning of Orien Trade’s office, creating a structured and welcoming environment that supports employee performance and company growth. This role blends administration, employee experience, internal communication, and workplace wellbeing.
Key responsibilities
- Oversee day‑to‑day office operations, maintain a professional workplace, and manage supplies, equipment, and shared areas.
- Coordinate external vendors such as cleaning, maintenance, utilities, and workplace services.
- Arrange domestic and international business travel, handling flights, accommodation, transport, and logistics.
- Process office invoices, monitor expenses, and support budgeting and procurement.
- Serve as the main point of contact for employees, visitors, and office‑related queries.
- Coordinate onboarding logistics with HR, including workstations, equipment, access, and welcome materials.
- Plan and organize internal events, employee activities, meetings, celebrations, and company gatherings.
- Support internal communication by sharing office updates, policies, event information, and announcements.
- Drive workplace wellbeing initiatives, gather feedback, and implement practical improvements.
Required profile
- Previous experience in office management, administration, employee experience, or workplace coordination.
- Bachelor’s degree in business administration, communications, human resources, hospitality, or a related field (beneficial but not mandatory).
- Strong organizational, planning, and communication skills with attention to detail.
- Ability to manage multiple priorities, work independently, and maintain confidentiality.
- Fluent in Estonian and English (minimum C1 level); additional languages are a plus.
Required skills
- Proficiency in Microsoft Office.
- Experience with digital collaboration tools.
