Site Management Associate I – Hybrid (Tallinn)

About the role

Join our international team as a Site Management Associate I, supporting clinical research projects in a hybrid setting based in Tallinn. You will act as a key liaison between investigative sites, vendors, and project teams, ensuring smooth communication and efficient document handling.

Key responsibilities

• Exchange data, documents and project‑relevant information between sites, vendors and internal teams.
• Manage clinical supplies: order, receipt, inventory, distribution, return/recall and reconciliation.
• Oversee site and vendor payments and coordinate regulatory and ethics committee submissions.
• Prepare for and follow up on site, TMF and systems audits and inspections.
• Organise internal team meetings and Investigator’s Meetings, including agenda preparation and minute taking.
• Maintain study‑specific and corporate tracking systems, including the Trial Master File (TMF) and Investigator Site Files (ISF).
• Perform TMF review and oversight at country and site level.
• Ensure proper safety information flow with investigative sites.

Required profile

• College or university degree.
• Proficiency in standard MS Office applications.
• Full working proficiency in English and Estonian.
• Strong organizational, planning and problem‑solving abilities.
• Detail‑oriented, able to multitask in a fast‑paced environment.
• Team‑oriented with excellent customer service and interpersonal skills.
