Tender & Bid Specialist

About the role

DefSecIntel Solutions, a defence and security company based in Tallinn, Estonia, is looking for a Tender & Bid Specialist to coordinate and manage the preparation and submission of high-quality, compliant bids and proposals. You will work closely with cross-functional teams so that tender requirements are met, documentation is accurate and submissions are delivered on time.

Key responsibilities

• Coordinate and support the end-to-end tender and bid documentation process, producing compelling, compliant submissions.
• Analyse tender requirements, eligibility criteria and compliance obligations, and coordinate solutions with internal teams.
• Work with sales, engineering, finance, legal and external consortium partners to gather input for proposals.
• Prepare and manage all bid documentation and supporting materials.
• Manage multiple bids and tenders at once, adapting to changing priorities and tight deadlines.
• Keep proposal templates and document libraries up to date.
• Translate technical and business input into clear, customer-focused proposals.
• Build expertise in EU, NATO and international procurement frameworks.

Required profile

• Proven experience in tender, bid, proposal or public procurement, ideally in the security and defence sector.
• Strong understanding of procurement requirements, compliance criteria and tender documentation.
• Clear written and verbal English and Estonian, with strong attention to detail.
• Ability to work independently, take ownership and coordinate with internal teams and external partners.
• Eligibility to obtain national security clearance is required.
