Workplace Coordinator – Office Operations

About the role

Wolt is looking for an experienced Workplace Coordinator to lead the workplace experience and operations for Estonia. Reporting to the Regional Workplace Lead, you will ensure our offices are functional, comfortable, safe, sustainable and efficient for employees, visitors and contractors.

Key responsibilities

• Act as the primary point of contact for landlords, vendors and local stakeholders across all workplaces in the country.
• Implement policies, procedures and programs that maintain building functionality, comfort, safety and sustainability.
• Lead workplace programs such as food & beverage services, lockers, mail, space planning, reception and workplace technology.
• Manage site‑specific projects, write playbooks and improve office spaces physically.
• Streamline office accessibility and automate self‑service where appropriate.
• Maintain high employee satisfaction by responding promptly to occupant concerns and ensuring quality service from vendors.
• Develop strong relationships with business leaders to align workplace strategies with their needs.
• Own the country facilities operating budget, coordinate financials, staffing and vendor contracts.
• Plan, execute and report on onsite events, and support company‑wide events in the local office.

Required profile

• Proven experience in office, workplace or facilities management within a fast‑growing global organization.
• Strong customer focus and vendor management experience.
• Excellent written and verbal communication skills in English.
• Ability to work autonomously, build relationships and manage stakeholders.
• Willingness to participate in First Aider and Fire Warden training and assist in emergencies.
