Events Manager – International Meetings

About the role

PSI, a Contract Research Organization with 30 years of experience in the pharmaceutical industry, is hiring a full-time Events Manager based in Estonia. The role oversees the planning and execution of international meetings, from coordinating logistics and managing vendors to supporting budgets, travel, compliance and post-event processes. It is a key partner to internal teams and external stakeholders.

Key responsibilities

• Prepare and attend international events
• Manage meetings, conduct management and troubleshooting
• Communicate with internal and external clients on meeting planning, budgeting, organization, conduct and follow-up
• Carry out market research on destinations and venues for project meetings
• Oversee travel arrangements for meeting attendees
• Review contracted vendor invoices and the payment process
• Provide data on Investigators' Meetings and other project meeting expenses to the finance team
• Oversee investigators' reimbursement payments
• Oversee the online registration system
• Ensure compliance with country-specific policies on interactions with Health Care Professionals
• Estimate meeting costs for potential or existing contracts

Required profile

• College or university degree
• At least 5 years of experience in events organization and management
• Full working proficiency in English
• Strong organizational skills, attention to detail, ability to multitask and work in a dynamic team
• High level of responsibility and customer orientation
• Flexibility for frequent international travel, including short-notice trips
