Settlements Analyst - Cargo Assurance

About the role

The Settlements Analyst – Cargo Assurance ensures that inspection service invoices are accurately validated and settled in line with contracts, rates and internal policies. Working as a control gate in the order‑to‑pay process, the analyst guarantees that only compliant, verified costs are released for payment.

Key responsibilities

• Receive, record and organise all incoming inspection service invoices, confirming correct structure and reference to the relevant cargo movement.
• Validate invoice amounts against rate cards, contracts and pricing agreements, flagging any discrepancies or over‑billing.
• Investigate and resolve invoice exceptions, coordinating with Inspection Coordinators, Operations, Procurement and Finance, and escalating high‑value issues when required.
• Confirm that billed services have been performed by liaising with Operations and Supply teams, and obtain supporting documentation.
• Communicate required corrections to vendors, manage resubmissions and ensure invoices meet established standards.
• Enter validated invoices into the financial system, link costs to the appropriate deal or movement, update accruals and release payments after all approvals.
• Maintain a complete audit trail of checks, communications and approvals to satisfy internal controls and audit readiness.

Required profile

• Strong independence and meticulous attention to detail.
• Experience handling invoice validation and settlement within a finance or procurement environment.
• Ability to work closely with Operations, Procurement and Finance teams to resolve discrepancies.
